There is an obvious privacy danger in sharing your computer screen in that other will be able to see what is on your screen and you might not want them to. For this reason you may want to take a few precautions to ensure your safe ScreenHaven meetings.
Check your Groups
Ensure you only have Groups with members that you are happy to view your screen. You can create new Groups or modify Groups in the Database window.
Only Allow desired Subscribers
Before you start screen sharing ensure that only those members that you want to allow to view your screens are checked. If in doubt uncheck them as you can always add them later. Likewise you may want to check periodically who has been viewing your screens. Right-click the User list and choose Refresh Current Users to clear their status so you can tell current viewers over time.
Remember that ScreenHaven only lets members of your Group have access to your files. They cannot be viewed by others, but like all server-based services you should ensure that no critical images are stored on the server. Also note that once the someone has created a record of the meeting it may now be stored on their computer which might be insecure.
Clear Desktop and applications before Meeting
Quit out of all unnecessary applications and clear your desktop of unnecessary files, icons or windows. Even the name of a document on the desktop may give away privileged information.
ScreenHaven cannot let another person control your screen
ScreenHaven only lets you Publish and Subscribe to screens. It is not a proper screen-sharing solution since it does not let you control another computer. This makes Screenhaven more secure against attack.
ScreenHaven does not let someone inside your firewall.
The Publisher is able to talk on to the network to update their server (via MySQL port 3306). The Subscriber also uses this port to read the same data. Unlike other solutions, the Publisher and Subscriber computers never talk to one another. This means that ScreenHaven is much more secure from attack since it does not need to let anyone else through your firewall.
Clear Screen before Meeting
If you have old screens from a previous meeting on the server you may want to ensure you capture the screens and comments then click the Clear button. A window will appear warning you that the screens and comments will be removed. Click the Yes button. No remnants of the previous Meeting screens remain, so Subscribers will not get to see the old screens. Alternatively, you may want to run the Clear operation after each meeting.
Share a Portion and Pause Publishing when needed
Designate only a section of your desktop as the area to be for screen shots using the Portion of screen option under the Share tab. Start the sharing then immediately click on the Pause button. For each screen image you want to make right-click the Comments window and choose ScreenSnap Current Image. You will need to Start sharing to add Comments.
