Contextual menus quickly enable many functions that relate to a single Project.
- Right-click on any Project, folder or document within a Project.
- Choose the function you want to perform.
- Let go of the mouse and that function will be begun
Edit Project Name
Change the name of the Project on the fly.
Refresh
Close then reopen the enclosing folder. This is useful where new documents have been added or removed and DocHaven is unaware of the changes.
Duplicate in Sequence
Adds a four digit number sequence to this file or folder for version-tracking within a Project. The first time this is chosen the file or folder is renamed with ‘0000’ appended to the file name but before the extension. Any additional actions result in a new copy of the file or folder with the number incremented by one. This is useful for Project containing documents where you may want to go back and get an exact copy of the document at a certain time.
For example if you have a document called ‘Budget Meeting Minutes.xls’ that needs to be edited by multiple people then highlighting that document and choosing Duplicate in Sequence will rename it ‘Budget Meeting Minutes 0000.xls’. Once it is edited and put away, the next person adding to the document can again highlight it and choose Duplicate in Sequence and a copy will be added called ‘Budget Meeting Minutes 0001.xls’ with the previous 0000 document remaining. This continues until the document has been processed by many people and may be now named ‘Budget Meeting Minutes 0034.xls’. When reports are printed the file name can be included in the footer showing the update of the document.
This feature has stored on the server multiple updates to the document in addition to the multiple versions stored automatically. Once a document is finalised there is no reason why the previous updates cannot be deleted.
Open, Reveal, Boomerang, Put Away, Revert, Print, Get Info, Delete
These functions are duplicates of the ToolBar items.
New Folder
Choosing New Folder creates a new folder in the same location as the file you are highlighting. If you were highlighting a folder it would place the new folder inside the highlighted folder. This is the same but much faster than choosing Reveal, creating a new folder, renaming it, returning to DocHaven, then choosing Refresh!
Rename
Choosing Rename lets you rename any file or folder.
Send Message to Owner
Looks up the Owner for this given Project and opens a TwitHaven message window ready for you to send them a message. If they are running OfficeHaven or TwitHaven the message will appear on their desktops after a short time.
Send Email to Owner
Looks up the Owner for this given Project and determines if they have an email address. If they do, it will open your default mail program and create a new mail message to that user with a standard title ready for you to edit.
Send Message to Client
Looks up the Client for this given Project and determines if they have an email address. If they do, it will open your default mail program and create a new mail message to that user with a standard title ready for you to edit.
Go to Client website
Looks up the Client for this given Project and determines if they have a web address. If they do, it will open your default web browser and jump to the Client’s web page.
Set Font Size
You can set the font size of the text in the DocHaven window anywhere between 9 and 24 point size.
Turn Speech off
Your speech settings are set in the Window-Database-User window, but you can override them here. Turn speech on or off for the rest of this logged-in session.
